Operational Support Specialist, Engineering and HSE

 

This role provides remote support to our Canadian facilities but there will be infrequent times when it will be necessary to provide in-person support at our Bradford and Markham facilities.  Although not regularly required, commitments may extend beyond regular oce hours to provide support across multiple time zones internationally.

We’re searching for an ambitious professional to plant their roots with us as an Operational Support Specialist .  In this role, you will support both the Engineering and Project Services, and Health, Safety and Environment teams, collaborate with all levels of the organization to improve processes and help our team achieve global success. As an Operational Support Specialist, you will:

  • Manage calendars, including scheduling appointments and meetings eciently
  • Coordinate travel arrangements (accommodation, flights, vehicles, etc.) as requested
  • Complete expense submissions through Concur
  • Populate a weekly time sheet for the retroactive capitalization of hours
  • Spearhead Engagement activities including associated administration, planning and executing events
  • Prepare necessary presentation materials for meetings
  • Attend meetings, record minutes, formalize timelines and track completion dates of identified action items
  • Assist in research, analysis, and preparation of special projects and development of project meeting schedules
  • Develop and maintain an ecient filing system for easy retrieval of information
  • Process incoming and outgoing mail, manually or electronically
  • Support Leaders to ensure the smooth flow of information and activities in a multifaceted organization
  • Handle sensitive information appropriately and use good judgement in problem solving while ensuring critical timelines are met
  • Liaise with stakeholders to maintain effective communication and a close working relationship with other departments within the company
  • Compose, review, and follow through on internal and external communication with a commitment to accuracy and attention to detail
  • Other tasks that may be assigned from time to time

 

You will be setup for success if you have…

A minimum of three years’ experience supporting Operations management and leadership teams (ideally in a public company environment)

Post-secondary education, such as a University Degree or College Diploma, in Project Management, Business, Oce Administration, or related field (we would also welcome an equivalent combination of education, training, and experience)

Strong technical skills, adept with Google Apps for Business, Google Oce, MS Oce

Previous experience supporting corporate communications, managing confidential information, and navigating in fast-paced environments with minimal supervision
