 ACCOUNTING ADMINISTRATOR

 

The Accounting Administrator will be responsible for a variety of day-to-day tasks including some procurement, office administration, accounting and analyses.  The role will also provide general reception and administration support.

 

MAIN RESPONSIBILITIES:

 

  • Present the company in a manner which portrays it in a respectable image
  • Prepare reports, memos, and documents
  • Maintain paper filing system (code and file documents according to the established procedures)
  • Maintain electronic and back up filing systems as well as records management and related procedures
  • Manage calendar, meetings, appointments
  • Prepare meeting agendas and supporting materials for distribution as requested
  • Draft minutes of meetings, resolutions and standard agreements as requested
  • Consolidate employee’s project hours and other costs and input into required spreadsheets or software
  • Analyze client project hours and other costs to identify and address any discrepancies or anomalies
  • Conduct training for office staff as needed regarding policies and procedures for client project hour and cost tracking
  • Audit and validate invoices, expense claim charges, direct hotel billings and company credit card charges and communication with head office finance / accounting
  • Develop recommendations for refinement or enhancement to policies and procedures related to client project hour and cost tracking
  • Receptionist and administrative support as needed, including answering phone calls, directing inquiries to the appropriate contacts and providing information by phone, process incoming and outgoing mail (manually or electronically), support with meeting, travel and other arrangements.
  • Other duties as required

 

QUALIFICATIONS:

 

  • 5+ years’ experience in an Administrative or Accounting role
  • Certificate or college diploma in administration, bookkeeping, accounting, or another related field is considered an asset
  • Public company experience preferred but not required
  • Familiar with using office equipment such as photocopier, scanner, etc.
  • Strong attention to detail
  • Comfortable with taking direction
  • Proficiency in the use of computer software for word processing, spreadsheets, email, Internet
  • Intermediate office suite knowledge, with advanced Word and PPT
  • Strong organizational skills, ability to multi-task and ability to exercise independent judgment
  • Excellent communication skills, both in oral and written
  • Experience with accounting software or an ERP is considered an asset
  • Bilingualism (French and English) is considered an asset
