Health, Safety & Environment Administrative Coordinator

Reporting to the Lead Administrator for the HSE department, the HSE Administrative Coordinator will be responsible for a variety of day-to-day tasks including document control, statistic entry, managing multiple inboxes, and providing administrative support to the HSE team.

MAIN RESPONSIBILITIES:

  • Data entry
  • Prepare memos, and documents
  • Document Control
  • Maintain paper filing system (code and file documents according to the established procedures)
  • Process incoming and outgoing mail, manually or electronically
  • Maintain electronic and back up filing systems as well as records management and related procedures
  • Manage calendar, meetings, appointments
  • Prepare meeting agendas and supporting materials for distribution as requested
  • Draft minutes of meetings, resolutions and standard agreements as requested
  • Other administrative tasks to assist as needed

 

 

 

 

 

QUALIFICATIONS:

  • 2+ years’ experience in an Administrator role
  • Strong attention to detail
  • Strong organizational skills, ability to multi-task and ability to exercise independent judgment
  • Excellent communication skills, both in oral and written
  • Proficiency in the use of computer software for word processing, spreadsheets, email, Internet
  • Strong familiarity using Microsoft Office – Word, Excel, Outlook etc.
  • Certificate or college diploma in administration or another related field is considered an asset
  • Public company experience preferred but not required
  • Bilingualism (French and English) is considered an asset
  • Familiar with using office equipment such as photocopier, scanner, etc.
