Office Manager


Aurora Cannabis Inc. is looking for an energetic and professional individual to work as the Office Manager at Aurora Polaris Office located in Nisku, AB. Reporting to the Vice President, Canadian Logistics, the incumbent will be experienced in handling a wide range of administrative and operational support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.

 

The Office Manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff guidance and task delegation.
 

MAIN RESPONSIBILITIES: 

  • Point person for mailing, shipping, supplies, equipment, common building billing and errands for the Polaris building
  • Liaison with other departments such as HR to provide assistance on office policies and communications, IS to coordinate office equipment
  • Provide administrative duties to ELT by managing schedules, calendars and appointments
  • Responsible for managing office services by ensuring office/building operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored, including all seating arrangements.
  • Support various business entities within the building, and be a conduit of information flow between all parties in the space (Manufacturing, Logistics, Corporate, Maintenance, Sanitization, etc.)
  • Coordinate with the Purchasing department corporate office expenditure as necessary
  • Manage communication channels within the space (email distribution lists, newsletters, TV content, etc.)
  • Responsible for developing and implementing office/building policies by setting up procedures and standards to guide the operation of the building.
  • Assign and monitor clerical, administrative responsibilities, and tasks among administrative staff
  • Financial responsibility for P-card, T&E Card and budgeting for the space.
  • Perform, review and analysis of special projects and keep the management properly informed
  • Participate actively in the planning and execution of company events – local and companywide.
  • Responsible for developing standards and promoting activities that enhance operational procedures
  • Coordinate office staff activities to ensure maximum efficiency
  • Monitor and maintain office supplies inventory
  • Review and approve office/building supply acquisitions
  • Maintain a safe and secure working environment
  • Other duties as assigned by the Vice President, Canadian Logistics

 

JOB REQUIREMENTS:

  • 3 years’ experience of proven office management, administrative or assistant experience with a large, multifaceted building.
  • Knowledge of office management responsibilities, systems, and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office
  • Knowledge of administrative management practices and procedures
  • Knowledge of clerical practices and procedures
  • Knowledge of business and management principles
  • Ability to lift 30 pounds
  • Will require a vehicle for occasional business needs
