SENIOR CONTRACTS COORDINATOR

AURORA is looking for a Senior Contracts Coordinator to join our Capital Procurement team. Reporting to the Strategic Sourcing Manager, the Senior Contract Coordinator’s focus will be to ensure consistent management of all proposals and contracts. This generally includes oversight of the contract management process (both formation and administration processes), as well as development of specific standards for bidding and submission, and document management. The Senior Contracts Coordinator role in the contract development process requires close collaboration with the designated buyer and project manager as well as other key stakeholders.

 

Key Duties and Responsibilities:

  • Responsible for ensuring highest level of integrity and confidentiality of the procurement process and proper adherence to AURORA procurement policies and procedures;
  • Engage relevant stakeholders in negotiation decisions involving legal or regulatory requirements and contract standards;
  • Manages contract process, supports selection recommendations and recommends contract/procurement strategies;
  • Prepare procurement contract guidelines for procurement staff;
  • Ensure that contracts and proposals are properly entered into organizational databases and securely maintained and administered;
  • Contribute to the develop of standards for contracts, including general language and provisions;
  • Prepares, reviews and submits weekly / monthly reports to the Strategic Sourcing Manager;
  • Coordinate/liaison with Engineering, Health and Safety, Product Development, Legal and other stakeholders to ensure the Contract Formation and Administration procedures are adhered to;
  • Prepare RFQ’s/RFQs and submits to bidders;
  • Reviews bidder responses to RFQs/RFPs to ensure scope, vendor qualification, language, scope of services, and pricing considerations are met;
  • Ensure that purchases are based on competitive bidding and sufficient number of responsive quotations/proposals;
  • Provides support, advice and assistance when needed in procurement of services, supplies, equipment;
  • Reviews all AURORA tendering and procurement processes in international offices ensuring strict compliance with AURORA policies and procedures;
  • Manage procurement contract database and provide procurement reports and statistics;
  • Monitors vendors/subcontractors’ performance;
  • Ensures completeness of contract files;
  • Any other procurement/contracts related duties as requested;
  • Provide support, and assistance when needed in the procurement of services, supplies and equipment for projects.

 

Skills Required:

  • Proven problem-solving ability, detailed orientation and effective inter-personal skills
  • Previous experience with Contract Formation and Administration activities
  • Computer proficiency in general office software applications (i.e. Word, Excel, Outlook). Sage/SAP experience a plus.
  • Strong written &oral communications, specifically adept in the drafting and interpretation of contractual/legal language
  • Can work under pressure. Good analytical and quantitative skills.
  • Strong numerical and analytic skills and can think in a very logical way
  • Ability to work both independently and in a team.
  • Ability to work productively with little supervision.

 

Desired Qualifications:

  • 5+ years in contract proposal, negotiation and review
  • 3+ years in a Procurement
  • Excellent time management skills and ability to multi-task and shift priorities.
  • Ability to work independently and exceptional problem-solving skills are critical in this role.
  • Ability to create and maintain relationships with internal and external clients.
  • Must be computer literate and have exceptional skills in Microsoft Office.
  • Ability to work well in a team, work efficiently and provide excellent customer service.
  • Good written and verbal communication skills.
  • Excellent organization, time management and document management skills.
