INTAKE SPECIALIST

Reporting to the Team Lead and Director of Patience Experience. Intake is the first point of contact between patients who want to be seen as a patient and are needing a physician to assist them.  Intake vets and uploads referral forms and qualifies patient in our system. This team also reaches out to Doctor offices when a Request for  Information (RFI) is needed on behalf of the patient. 

 

PRIMARY RESPONSIBILITIES: 

  • Vetting medical documents and referrals
  • Sending faxes to physician offices
  • Calling physician offices to request and obtain additional information
  • Significant data entry and document management
  • Perform record keeping duties
  • Provide administrative and clerical support
  • Maintain patient files, records, and other information with a high degree  of accuracy
  • Perform other duties as assigned

 

KNOWLEDGE AND EXPERIENCE:

  • University degree or equivalent
  • Excellent working knowledge of Windows-based EMR software applications
  • 2 years data entry/transcription experience     
  • Medical Office experience required
  • Superior verbal and written communication skills    
  • Demonstrated ability to utilize and understand Medical Terminology
  • Proven analytical and problem-solving skills

  • Has reliable access to transportation to get to and from office 
  • Resides within proximity to St. Catharines
  • Ability to use a high degree of tact, diplomacy and discretion in  working with others
  • Ability to follow detailed instruction
  • Ability to work effectively as part of a team

 

ADMINISTRATIVE SKILLS:

  • Ability to type a minimum 50 wpm, minimum 
  • Demonstrated proficiency in computer word processing, spreadsheet applications and specialized Electronic Medical Record (EMR) systems
  • Strong document management skills

 

COMMUNICATION SKILLS

  • A professional office demeanor including phone etiquette and business communication skills
  • Strong conflict resolution skills
  • Strong interpersonal skills including business communication
  • Ability to communicate effectively using all communication vehicles

 

PROBLEM SOLVING/ ANALYTICAL SKILLS

  • Demonstrated ability to make quick decisions and solve tough problems
  • Works well independently, can manage multiple priorities, and is solutions oriented
  • Ability to organize and prioritize multiple tasks and work roles
