Job Summary

 

In this role, you will support the Chief Financial Officer and their Finance VPs in the Canada market and collaborate with all levels of the organization to improve processes and help our team achieve global success. You’re organized, motivated, and determined. You anticipate needs a mile away and constantly think four steps ahead. You have a positive attitude that can navigate any challenge and you’re not afraid to step outside your comfort zone to help others. As the Executive Assistant you will:

Calendar and schedule management:

  • Manage the CFO and VP’s calendar, schedule appointments, meetings, and travel arrangements efficiently.
  • Coordinate and prioritize appointments and commitments and resolve scheduling conflicts and prepare and distribute agendas and presentations as required.
  • Attend meetings, record minutes, and follow up on action items to ensure timely completion for areas within compliance, quality control, and product development.

Travel and Logistics:

  • Arrange complex domestic and international travel itineraries and agendas, including flights, accommodations, ground transportation, and any specific requirements related to cannabis-related events or trade shows, and ensure expenses are submitted through Concur.

Communication and Correspondence:

  • Draft, proofread, and edit correspondence, reports, presentations, and other documents for the CFO's review and approval, ensuring compliance with cannabis industry regulations and guidelines.
  • Support executive communications by addressing incoming calls and emails and prioritizing urgent matters while maintaining confidentiality on sensitive matters.

Information Management and Documentation:

  • Manage and maintain confidential information, files, records, and databases, adhering to strict data security protocols.
  • Organize and prioritize incoming documents, emails, and other information, ensuring the CFO's attention is focused on critical matters.
  • Develop and maintain an efficient filing system for easy retrieval of information.

Relationship Management:

  • Establish and maintain effective working relationships with internal and external stakeholders, including executives, senior leaders, regulatory authorities, suppliers, financial stakeholders & analysts, and partners within the cannabis industry.
  • Act as a liaison between the CFO, VP’s and internal departments, coordinating information flow and ensuring timely responses, while ensuring adherence to compliance guidelines governing the manufacturing and distribution of cannabis products.

Special Projects and Initiatives:

  • Assist the CFO and VP’s in research, analysis, and preparation of special projects, reports, and presentations (including presentations to leadership team).
  • Support Finance engagement initiatives including promoting survey participation, collaborating with VPs to develop action plans, championing engagement initiatives and following up with engagement action plans.
  • Support the CFO and VPs in monitoring project progress, tracking milestones, and ensuring deliverables are met.
  • Support Investor Relations logistics.
  • Support finance team engagement initiatives.

On-Site Executive & Meeting Support:

  • Travel to the Toronto office and/or operational facilities as required to provide in-person support for C-suite, Executive, VP, and Finance leadership meetings, offsites, and key business events.
  • Coordinate and support on-site executive and Finance division meetings, including agenda preparation, materials management, stakeholder coordination, and event logistics to ensure seamless execution.
  • Ad hoc duties as required.
  • Implement and maintain security protocols to safeguard sensitive supply chain data under the guidance of our cybersecurity team.

 

You would be the best fit for this role if you have…

 

  • A minimum of five years’ EA experience supporting Vice President or C-level executives (ideally in a public company environment)
  • Post-secondary education, such as a University Degree or College Diploma, in Business, Office Administration, or related field (we would also welcome an equivalent combination of education, training, and experience)
  • Experience supporting multiple calendars in a fast-paced, evolving environment with the ability to prioritize meetings based on urgency and importance; managing conflicting schedules, engaging in proactive communication and possesses an overall strong sense of judgement.
  • Must be proficient with MS Office, including Outlook, Word, PowerPoint, and Excel
  • Experience supporting board meetings and committee activities, including preparing board materials
  • Previous experience supporting corporate communications, managing confidential information, and navigating in fast environments with minimal supervision
