Job Summary

 

The Accounting & Office Administrator supports the day-to-day accounting and office operations of Safari Flower Company. Reporting to the CEO, this role assists with bookkeeping, accounts payable, accounts receivable, vendors, and the approval workflows of financial records.

 

The position also serves as the first point of contact for visitors and callers, providing professional reception service and coordinating routine office administration for Office staff. Working with the Finance Manager and other team members, the role helps ensure that documents, inquiries, and daily office needs are handled promptly and accurately.

 

The successful candidate is organized, detail-oriented, and comfortable balancing focused accounting work with front-desk responsibilities. Financial entries, vendor payables management, and reporting support are completed under the guidance and review of the Finance Manager.

As a Accounting & Office Administrator you will manage…
 

Accounting Requirements:

  • Enter approved supplier invoices and expense reports in the accounting system, checking ledger coding, amounts, and supporting documents.
  • Supporting Sales and Procurement in generating purchase orders and invoicing for business workstreams maintaining accurate accounts receivable records.
  • Match invoices to purchase orders and receiving records and flag missing approvals or discrepancies.
  • Monitor outstanding invoices and assist with routine customer payment follow-up as directed.
  • Assist with bank and credit card reconciliations by matching transactions and identifying differences for review.
  • Reconcile supplier statements and follow up on missing invoices, credits, or payment details.
  • Prepare accounts payable reports and payment batches for Finance Manager review and authorized approval.
  • Maintain organized electronic and paper records of invoices, receipts, statements, and other accounting documents.
  • Assist with month-end schedules and routine journal entries as instructed by the Finance Manager.
  • Protect confidential information, follow approval procedures, and promptly report errors or unusual transactions. 

 

Office Management Requirements:

  • Receptionist to visitors and logistics providers, notify their host, and follow company sign-in, access, and safety procedures.
  • Answer and direct telephone calls and general email inquiries; take accurate messages and follow up promptly.
  • Coordinate couriers and deliveries and maintain related records.
  • Monitor and order approved office supplies and keep reception and shared office areas organized.
  • Coordinate meeting bookings, calendars, and routine office service requests as assigned by CEO.
  • Assist with scanning, filing, data entry, document preparation, and maintaining staff and supplier contact lists.
  • Provide administrative support to the team and perform other related duties assigned by the Finance Manager.
  • Adherence to compliance policies and procedures for the total facility including health, safety, sanitation, environmental processes, quality, and safety.

 

You will be setup for success if you have…

  • Certificate or diploma in accounting, bookkeeping, business, or office administration preferred; equivalent training or experience considered.
  • Working knowledge of Microsoft Excel, Word, and Outlook, including basic spreadsheets and data entry.
  • Familiarity with accounting software QuickBooks is an asset; willingness to learn company systems.
  • Basic understanding of bookkeeping, accounts payable, accounts receivable, and reconciliations.
  • Discretion, integrity, and care when handling confidential financial and employee information.
  • Clear written and verbal communication skills and a professional, welcoming telephone manner.
  • Strong attention to detail, accurate data entry, and organized recordkeeping.
  • Must be able to successfully complete background and reference checks.
  • Must be eligible to legally work in Canada.
