ADMINISTRATIVE COORDINATOR (COMMUNICATIONS)

 

Reporting to the Director of Communications, the Administrative Coordinator will be responsible for a variety of administrative tasks to support the Communications team in carrying out their respective functions. This role is critical in supporting Aurora’s Communication campaigns and initiatives both in Canada and internationally.

This role will be responsible for ensuring consistent connectivity among the Communications team, directing inquiries to the appropriate contacts, answering emails, coordinating travel, managing calendars and meetings, as well as various other administrative tasks that may be assigned from time to time. The ideal candidate will be a quick-learner, adaptable and present the company in a manner which portrays a respectable image.

 

MAIN RESPONSIBILITIES:

  • Support the Communications Department to ensure the smooth flow of information and activities in a multifaceted operation. Coordinate the flow of information within the Communications division and across functions as requested.
  • Book travel and coordinate meetings and agendas for senior staff
  • Assist coordinating photo and video shoots in Canada and around the world
  • Develop and oversee the department’s content library, maintain filing system and records management for department
  • Assist with vacation schedules for communications department
  • Prepare reports, memos, and documents
  • Manage calendar, meetings, appointments
  • Prepare meeting agendas and supporting materials for distribution as requested
  • Liaise with stakeholders to collect requirements and maintain effective communication
  • Support with minutes of meetings, expenses and other arrangements
  • Other tasks that may be assigned from time to time

 

QUALIFICATIONS:

  • 3-5+ years’ experience in an Administrative Assistant role
  • Certificate or college diploma in administration or another related field is considered an asset
  • Public company experience preferred but not required
  • Familiar with using office equipment such as photocopier, scanner, etc.
  • Strong attention to detail
  • Comfortable with taking direction
  • Proficiency in the use of computer software for word processing, spreadsheets, email, Internet
  • Intermediate office suite knowledge, with Word and PPT mandatory. Excel is an asset
  • Strong organizational skills, ability to multi-task and ability to exercise independent judgment
  • Ability to deal with confidential information with a high degree of diplomacy
  • Excellent communication skills with a well-developed professional phone manner and a focus on positive, productive business relationships
