EXECUTIVE ASSISTANT TO EXECUTIVE VICE PRESIDENT, SUPPLY CHAIN

 

Aurora is recruiting an Executive Assistant to support the Executive Vice President, Supply Chain. The ideal candidate will have considerable skill working as an executive assistant in a fast-paced and dynamic industry and is comfortable working across multiple time zones. The successful candidate will be highly organized, possess strong decision-making skills, proven ability to establish priorities, exceptional interpersonal skills, polished communication skills, and ability to exercise good independent judgement. 

Based in Toronto, this Executive Assistant is experienced in working with all levels of an organization, communicating with sensitive stakeholders, and maintaining professionalism and utmost confidentiality. 

 

MAIN RESPONSIBILITIES:

 

  • Supports executive member to ensure the smooth flow of information and activities in a multifaceted operation with ever-changing priorities
  • Handles sensitive information appropriately and uses good judgement in problem solving. Handles and prepares all aspects of confidential and sensitive documents, ensures critical timelines are met
  • Oversees the email of the Executive Vice President, Supply Chain as required, handles sensitive information appropriately and uses good judgment in problem solving
  • Prepares and submits expense reports
  • Coordination of Executive Vice President, Supply Chain daily calendar and scheduling of appointments
  • Coordination of travel arrangements (accommodation, flights, vehicles, etc.) as requested
  • Prepares agendas, attends meetings, schedules and takes minutes at internal and external meetings as requested
  • Maintains a close working relationship with other departments within the company
  • Composes, reviews, and follows through on internal and external communication with a commitment to accuracy and attention to detail
  • May serve as the primary point of contact for internal and external stakeholders on business matters and local office matters
  • Manages and performs office responsibilities including ordering supplies, couriers, and occasional reception
  • Assists with internal and external communication efforts: organizes and coordinates special events and projects
  • May support related projects and conduct research as required

 

 

JOB REQUIREMENTS:

 

  • A minimum of three years of experience supporting C-level executives – experience within a public company is an asset
  • University Degree or College Diploma in Business, Office Administration, or related relevant education is an asset
  • Strong technical skills, adept with Google Apps for Business, Google Office, MS Office, and familiarity with Mac OS is an asset
  • Ability to act with minimal supervision, discretion, maturity, and with absolute confidentiality
  • Ability to work under tight timelines and to balance multiple and varied projects at one time
  • Thorough knowledge of corporate communications, spelling and grammar
  • Exceptional written, verbal and interpersonal communication skills
  • Ability to inspire trust and confidence in relationships with others; the ability to exercise diplomacy when dealing with customers and to provide leadership, organizational and decision-making skills

 

Commitments and engagements Executive Vice President, Supply Chain extend beyond regular office hours and although this role generally does not require attendance at such events or significant overtime, there are times when it will be necessary to provide support beyond regular office hours across multiple time zones around Canada and across the world.
